Before you start

Use an appropriately restricted API key and a verified sending setup. Track the business event separately from the email request and do not equate API acceptance with inbox delivery.

Set up the sender and reply address

SendGrid API keys can have different permission levels. Grant only the permissions the workflow needs and store the key in protected server-side settings. Keep development and production usage distinguishable.

Agree which address appears as sender and where replies go. Check the current sender authentication requirements in the official setup documentation before enabling live email.

Follow up on an open quote

A quote follow-up workflow should reference the quote, its owner and its current state. Stop follow-ups when the quote is closed or a reply requires personal attention.

Write the message around a real business event. Include enough context for the recipient to understand why they received it, without placing unnecessary private information in the email.

Check delivery feedback before retrying

Test rejected requests, duplicate events, invalid addresses and a reply to the configured mailbox. Check delivery feedback in the provider, not only the success status returned to the application.

Avoid retrying blindly when the result is uncertain. Store a send record and define how the owner investigates an ambiguous response.

Check the mailbox as well as the send log

A delivered follow-up can still leave work unfinished if nobody reads the reply. Assign the reply mailbox to a team and decide when an answer should stop the sequence.

Keep the message reference with the quote record. The owner needs enough context to investigate a failed or uncertain send without resending the whole batch.
